General Profile Field Rules

4.1.1 : Student's Name

Add Student (Users can add a student by following the rules.)

    • It is not an optional field.

    • Please do not use title such as Mr./Mrs./Ms./Shri/Smt.

    • The name should be between 2 and 100 characters in length.

    • Only alphabets (A-Z), apostrophes ('), up to two non-consecutive dots (.), and single spaces between words are allowed.

Edit Student (Users can edit a student by following the rules.)

    • You can update the student name through the "Student Name Update" module in the left-side menu.

    • The student name can only be updated once.

    • The student name can be updated according to the guidelines available in the "Student Name Update" module.

Note :

    • After Aadhaar verification, you cannot change the student's name. If you wish to make any changes, please contact your MIS.

    • Once the AAPAR is created, you cannot change the student's name.

4.1.3 : Date of Birth

    • It is not an optional field.

    • The Date of Birth must follow the format DD/MM/YYYY.

    • The student's age cannot be less than 2 years on the session start date.

    • The student's date of birth should not be earlier than 01/01/1943.

    • If the student's age does not match the age matrix, a confirmation message will be displayed on the screen, allowing the user to take further action accordingly.

Note :

    • After Aadhaar verification, you cannot change the student's date of birth. If you wish to make any changes, please contact your MIS.

    • Once the AAPAR is created, you cannot change the student's date of birth.

4.1.4 : Mother's Name

    • It is not an optional field.

    • The name should be between 2 and 100 characters in length.

    • Only alphabets (A-Z), apostrophes ('), up to two non-consecutive dots (.), and single spaces between words are allowed.

4.1.5 : Father's Name

    • It is not an optional field.

    • The name should be between 2 and 100 characters in length.

    • Only alphabets (A-Z), apostrophes ('), up to two non-consecutive dots (.), and single spaces between words are allowed.

4.1.6 : Guardian's Name

    • It is an optional field.

    • The name should be between 2 and 100 characters in length.

    • Only alphabets (A-Z), apostrophes ('), up to two non-consecutive dots (.), and single spaces between words are allowed.

4.1.7 : Aadhaar Number of Student

    •  - Student Aadhaar Verified

    • It is not an optional field.

    • Aadhaar number should be valid.

    • Aadhaar number should not starts with 0, 1.

    • Aadhaar numbers already registered in the system are not allowed.

Note :

    • After Aadhaar verification, you cannot change the Aadhaar number. If you wish to make any changes, please contact your MIS.

    • Once the AAPAR is created, you cannot change the Aadhaar number.

4.1.8 : Name of Student as per/in Aadhaar Card

    • The name should be between 2 and 100 characters in length.

    • Only alphabets (A-Z), apostrophes ('), up to two non-consecutive dots (.), and single spaces between words are allowed.

    • The student's name as per Aadhaar must match the name on the Aadhaar card.

Note :

    • After Aadhaar verification, you cannot change the student's name as per Aadhaar. If you wish to make any changes, please contact your MIS.

    • Once the AAPAR is created, you cannot change the student's name as per Aadhaar.

4.1.9 : Admission Date in Present School

    • It is not an optional field.

    • The Admission Date must follow the format DD/MM/YYYY.

    • Admission date cannot be before Date of Birth of the student.

    • Future date is not allowed.

4.1.9 (a) : Address

    • It is not an optional field.

    • The address should be at least 10 characters and no more than 150 characters.

    • Multiple non-consecutive spaces, Enter and special characters are not allowed, except for '(', ')', '-', '_', and '/'.

4.1.9 (b) : Pincode

    • It is not an optional field.

    • The pincode should be 6 digits long and cannot start with 0.

4.1.10 (a) : Mobile Number (of Student/ Parent/ Guardian)

    • It is not an optional field.

    • The mobile number should be 10 digits long, start with 6, 7, 8, or 9, and not consist of repeating digits like 6, 7, or 8.

    • Primary and Alternate Mobile number cannot be same.

4.1.10 (b) : Alternate Mobile Number(of Student/ Parent/ Guardian)

    • It is an optional field.

    • The mobile number should be 10 digits long, start with 6, 7, 8, or 9, and not consist of repeating digits like 6, 7, or 8.

    • Primary and Alternate Mobile number cannot be same.

4.1.15 (a) : Whether Antyodaya Anna Yojana (AAY) beneficiary?

    • It is a mandatory field when the "Whether BPL beneficiary?" field is marked as YES in 4.1.15.

4.1.17 (a) : Type of impairment (code)

    • It is a mandatory field when the "Whether CWSN?" field is marked as YES in 4.1.17.

    • A maximum of 3 impairment types can be selected.

4.1.17 (b) : Disability Percentage (in %)

    • It is a mandatory field when the "Whether CWSN?" field is marked as YES in 4.1.17.

    • Only digits between the range of 0 and 100 are allowed; decimals are not permitted.

4.1.19 (a) : When the student is mainstreamed?

    • It is a mandatory field when the "Is this Student identified as Out-of-School-Child in current or previous years" field is marked as YES in 4.1.19.

Enrolment Profile Field Rules

4.2.1 : Admission Number in Present School

    • It is not an optional field.

    • Only alphanumeric and / - are allowed

    • Maximum 25 characters are allowed.

4.2.2 : Admission Date (DD/ MM/ YYYY) in Present School

    • It is not an optional field.

    • The Admission Date must follow the format DD/MM/YYYY.

    • Admission date cannot be before Date of Birth of the student.

    • Future date is not allowed.

Note :

    • When a student is coming through Progression, Import, or Add New Student, the admission date entered during any of these processes will automatically be reflected in this field, If needed, the user has the option to edit or change the date as well.

Class/Section Roll Number

    • It is an optional field.

    • Only Numbers are allowed.

4.2.4 : (a) Academic Stream opted by student

    • It is not an optional field.

    • Field enables only for the Higher Secondary Classes.

4.2.4 : (b) Subjects Group Studied by the Student

    • Field enables only for the Higher Secondary Classes.

    • The options in this field will be populated based on the selection made in section 4.2.4 (a) Academic Stream opted by student

4.2.5 : (a) Status of student in Previous Academic Year of Schooling

    • It is an optional field.

    • The options for students from Pre-primary to Class-I will be: 1-Studied at Current/Same School, 2-Studied at Other School, 3-Anganwadi/ECCE Center, 4-Non/Not Studying

    • For students in classes above Class-I, the available options will be: 1-Studied at Current/Same School, 2-Studied at Other School, 4-Non/Not Studying

    • During progression, if the status is set to "Studying at Same School", you will not be able to save the field with any other option.

    • During progression, if the status is set to "Left School with TC/without TC".

1.If Student is imported back in the same school within the same academic session

The system will only allow the status to be saved as "1-Studied at Current/Same School".

2.If Student is imported in another school within the same academic session

The system will only allow the status to be saved as "2-Studied at Other School".

3.If student is imported in same or another school after the gap of more than 1 year in academic session

The system will only allow the status to be saved as "4-Non/Not Studying"

4.2.5 : (b) Grade/Class Studied in the Previous/Last Academic Year

    • This is a mandatory field when the value "1-Studied at Current/Same School" or "2-Studied at Other School" is selected in the "4.2.5 (a)" field.

4.2.7 : (a) In the previous class studied – Result of the examination

    • This is a mandatory field when the value "1-Studied at Current/Same School" or "2-Studied at Other School" is selected in the "4.2.5 (a)" field.

    • Only digits are allowed between the range of 0 - 100.

4.2.7 : (b) In the previous class studied – Marks obtained (in Percentage)

    • This is a mandatory field when the value "1-Studied at Current/Same School" or "2-Studied at Other School" is selected in the "4.2.5 (a)" field.

    • Only digits are allowed between the range of 0 - 100 and decimals are not allowed.

4.2.8 : No. of days Student attended school (in the previous academic year)

    • This is a mandatory field when the value "1-Studied at Current/Same School" or "2-Studied at Other School" is selected in the "4.2.5 (a)" field.

    • Only digits are allowed between the range of 1 - 250 and decimals are not allowed.
